Privacy Policy

1. Who we are

Akyeba is a product of TheKloudWiz ("we", "us", "our"), a technology company registered in Ghana. We provide operational software for educational institutions.

2. Information we collect

We collect information you provide directly when using our platform:

• Account information: name, email address, phone number, role, and school affiliation.
• Student data: names, dates of birth, class enrolment, academic records, attendance, and guardian contact details, entered by authorised school staff.
• Usage data: device type, browser, IP address, pages visited, and feature interactions, collected automatically to improve the service.
• Payment data: transaction references processed through Paystack. We do not store card numbers.

3. How we use your information

• Provide, maintain, and improve the Akyeba platform.
• Generate report cards, attendance summaries, and academic records.
• Send transactional emails (invitations, password resets, notifications).
• Respond to support requests.
• Comply with legal obligations.

4. Data sharing

We do not sell personal data. We share data only with:

• Service providers: AWS (hosting), Resend/Brevo (email), Paystack (payments), and SMS providers, under data processing agreements.
• School administrators: within the same tenant, as required for school operations.
• Legal authorities: when required by Ghanaian law or a valid court order.

5. Data retention

We retain school data for the duration of the subscription plus 12 months after termination (to allow data export). After that period, data is permanently deleted unless a longer retention is required by law.

6. Data security

We use encryption in transit (TLS) and at rest (AES-256 via AWS KMS), role-based access controls, and audit logging. We conduct regular security reviews and dependency scanning.

7. Your rights

You may request access to, correction of, or deletion of your personal data by contacting us at privacy@thekloudwiz.com. School administrators can export or delete student records directly from the platform.

8. Children's data

Student data is entered and managed by authorised school staff, not by children directly. We process this data on behalf of the school (the data controller) under their lawful basis for educational administration.

9. Changes to this policy

We may update this policy from time to time. Material changes will be communicated via email to account holders and posted on this page with an updated date.
